What is a bill book?

A bill book is a numbered pad of duplicate or triplicate bill slips used by retail shops, traders, kirana stores, medical stores and service businesses to record every sale. One copy is handed to the customer; the business retains the carbon copy for accounting and GST records. The term "bill book" is common in Indian trade — under GST law the document is formally called a Tax Invoice (for registered dealers) or Bill of Supply (for exempted goods or unregistered dealers).

When to use a bill book vs. a tax invoice

  • GST-registered seller: must issue a Tax Invoice with GSTIN, HSN, and CGST/SGST or IGST amounts. The bill book template below covers this.
  • Unregistered seller (below ₹40 L threshold): can issue a simple bill without GST fields. Remove the GST columns from the Excel template.
  • Exempted goods: issue a Bill of Supply (no tax charged, but all other details required).

Tips for managing your bill book

  • Use a serial number that resets each financial year (April 1) — e.g. BB-2026-0001.
  • Never skip or cancel a number without keeping a void record.
  • Keep the duplicate copies bound in a file for at least 6 years (GST audit period).
